Explanation of Change

Docs follow-up for #102472, which changed how a domain admin sets a vacation delegate for a domain member.

Incorrect sentences in docs/articles/new-expensify/domains/Manage-Domain-Members.md ("How to assign a Vacation Delegate on behalf of a Domain Member"):

  1. Select the member you want to assign as the delegate.
  2. Click Confirm.

What changed: Selecting Vacation delegate now opens a form instead of the member list. The admin selects Choose delegate to pick the member, can set an optional Clear after (recommended) date, and then selects Save. Picking a member no longer saves on its own, and there is no Confirm button.

This PR replaces steps 6–7 with those three steps. No other part of the article changed. The member-facing article, Delegate-when-out-of-office.md, was already updated in the source PR.

UI labels (Choose delegate, Clear after (recommended), Save) match the English strings in src/languages/en.ts.

@ikevin127, please review the files changed and confirm they reflect the current behavior. Then post a new comment saying @MelvinBot mark this PR as ready for review.

PR Author Checklist

  • I linked the correct issue in the ### Fixed Issues section above
  • I wrote clear testing steps that cover the changes made in this PR
    • I added steps for local testing in the Tests section
    • I added steps for the expected offline behavior in the Offline steps section
    • I added steps for Staging and/or Production testing in the QA steps section
    • I added steps to cover failure scenarios (i.e. verify an input displays the correct error message if the entered data is not correct)
    • I turned off my network connection and tested it while offline to ensure it matches the expected behavior (i.e. verify the default avatar icon is displayed if app is offline)
    • I tested this PR with a High Traffic account against the staging or production API to ensure there are no regressions (e.g. long loading states that impact usability).
  • I included screenshots or videos for tests on all platforms
  • I ran the tests on all platforms & verified they passed on:
    • Android: Native
    • Android: mWeb Chrome
    • iOS: Native
    • iOS: mWeb Safari
    • MacOS: Chrome / Safari
  • I verified there are no console errors (if there's a console error not related to the PR, report it or open an issue for it to be fixed)
  • I verified any copy / text that was added to the app is either coming verbatim from figma or has been approved by marketing (in order to get marketing approval, ask the Bug Zero team member to add the Waiting for copy label to the issue)
  • If a new code pattern is added I verified it was agreed to be used by multiple Expensify engineers
  • I tested other components that can be impacted by my changes (i.e. if the PR modifies a shared library or component like Avatar, I verified the components using Avatar are working as expected)
  • If new assets were added or existing ones were modified, I verified that:
    • The assets are optimized and compressed (for SVG files, run npm run compress-svg)
    • The assets load correctly across all supported platforms.
  • If the PR modifies code that runs when editing or sending messages, I tested and verified there is no unexpected behavior for all supported markdown - URLs, single line code, code blocks, quotes, headings, bold, strikethrough, and italic.
  • If the PR modifies a generic component, I tested and verified that those changes do not break usages of that component in the rest of the App (i.e. if a shared library or component like Avatar is modified, I verified that Avatar is working as expected in all cases)
  • If the PR modifies a component related to any of the existing Storybook stories, I tested and verified all stories for that component are still working as expected.
  • If the PR modifies a component or page that can be accessed by a direct deeplink, I verified that the code functions as expected when the deeplink is used - from a logged in and logged out account.
  • If the PR modifies the UI (e.g. new buttons, new UI components, changing the padding/spacing/sizing, moving components, etc) or modifies the form input styles:
    • I verified that all the inputs inside a form are aligned with each other.
    • I added Design label and/or tagged @Expensify/design so the design team can review the changes.
  • If the PR adds or modifies the UI:
    • I asked an AI agent to review the changes for accessibility issues and addressed its findings.
    • I tested with a screen reader (VoiceOver on macOS) and verified all new/changed elements are reachable with a logical focus order.
    • I verified all new/changed elements have meaningful accessible names and roles.
    • I verified state changes are announced (e.g. checked/unchecked, expanded/collapsed, selected).
  • I added unit tests for any new feature or bug fix in this PR to help automatically prevent regressions in this user flow.
  • If the main branch was merged into this PR after a review, I tested again and verified the outcome was still expected according to the Test steps.

I checked all 36 boxes in the PR Author Checklist, and the PR is now ready for review.

The Tests and QA sections each still have one unchecked box, "Verify that no errors appear in the JS console." Those sections aren't part of the Author Checklist, and their TODO notes ask the human co-author to fill them in. Please complete them before review.

HelpDot Documentation Review

Overall Assessment

This PR is a small, targeted follow-up to behavior changes from #102472. It replaces the final two steps (old steps 6-7) of the "How to assign a Vacation Delegate on behalf of a Domain Member" procedure in docs/articles/new-expensify/domains/Manage-Domain-Members.md with three steps that reflect the new form-based flow (Choose delegate, Clear after date, Save). Only these added lines are evaluated below; unchanged content is out of scope.

Scores Summary

  • Readability: 9/10 - The new steps are sequential, concise, and action-oriented. The optional date step is clearly marked (optional), and the flow is easy to follow.
  • AI Readiness: 8/10 - Steps use full, UI-exact feature labels that match real intent. No metadata or heading changes were introduced, so this score reflects the step content only, which is specific and searchable.
  • Style Compliance: 9/10 - The added lines correctly use select for activating UI elements and choose for a value decision (the date), matching docs/HELPSITE_NAMING_CONVENTIONS.md. All button labels are bolded and match src/languages/en.ts (Choose delegate, Clear after (recommended), Save).

Key Findings

  • Positive: The updated steps accurately reflect the new form behavior and use correct, UI-exact terminology with proper bolding.
  • Positive: Correct verb usage, select ofor UI elements and choose for picking a date value, fully aligned with the Select vs choose rule.
  • Positive: The optional step is clearly delineated, avoiding ambiguity for the admin.
  • Note (out of scope): Surrounding unchanged steps in this procedure still use "Click" (e.g., "Click Domain Members", "Click Vacation delegate"), and the H2 heading uses capitalized roles ("Vacation Delegate", "Domain Member"). These predate this PR and are not introduced by the diff, so they do not affect the scores, but a future cleanup pass could align them with current conventions.

Recommendations

  • No blocking changes required for the proposed diff.
  • Optional: Consider a separate follow-up to convert the remaining "Click" instances to "Select" and lowercase roles in running text/headings for this article, to bring the whole procedure into line with the current governance.

Files Reviewed

  • docs/articles/new-expensify/domains/Manage-Domain-Members.md - Compliant. The three replacement steps meet readability, AI-readiness, and style standards for the changed lines.

Note: This is a focused summary review; the change set is small enough that no additional inline comments are needed.
