Explanation of Change

Help site update for #103072, which keeps a duplicated expense on its source report when that report can still accept expenses (for example, a Draft report). Before that PR, every reported expense was copied onto the primary workspace.

These sentences became incorrect:

  • How-to-Duplicate-an-Expense.md: "An expense that is on a report is copied onto your primary workspace, while an Unreported expense is copied onto your personal space."
  • How-to-Duplicate-an-Expense.md: "If the original expense is on a report, the copy is created on your primary workspace."
  • Expense-and-Report-Actions.md (Duplicate expense row): "Creates a copy of the expense on your primary workspace with the same details."

Each sentence now says the copy stays on the same report when it can still accept expenses, and goes to the primary workspace otherwise. The How-to-Duplicate-an-Expense.md wording is limited to single-expense duplicates, because bulk Duplicate expenses still uses the primary workspace.

@thelullabyy, please review the files changed and confirm they reflect the current behavior. Then post a new comment saying @MelvinBot mark this PR as ready for review.

PR Author Checklist

  • I linked the correct issue in the ### Fixed Issues section above
  • I wrote clear testing steps that cover the changes made in this PR
    • I added steps for local testing in the Tests section
    • I added steps for the expected offline behavior in the Offline steps section
    • I added steps for Staging and/or Production testing in the QA steps section
    • I added steps to cover failure scenarios (i.e. verify an input displays the correct error message if the entered data is not correct)
    • I turned off my network connection and tested it while offline to ensure it matches the expected behavior (i.e. verify the default avatar icon is displayed if app is offline)
    • I tested this PR with a High Traffic account against the staging or production API to ensure there are no regressions (e.g. long loading states that impact usability).
  • I included screenshots or videos for tests on all platforms
  • I ran the tests on all platforms & verified they passed on:
    • Android: Native
    • Android: mWeb Chrome
    • iOS: Native
    • iOS: mWeb Safari
    • MacOS: Chrome / Safari
  • I verified there are no console errors (if there's a console error not related to the PR, report it or open an issue for it to be fixed)

    • The assets are optimized and compressed (for SVG files, run npm run compress-svg)
    • The assets load correctly across all supported platforms.
  • If the PR modifies code that runs when editing or sending messages, I tested and verified there is no unexpected behavior for all supported markdown - URLs, single line code, code blocks, quotes, headings, bold, strikethrough, and italic.
  • If the PR modifies a generic component, I tested and verified that those changes do not break usages of that component in the rest of the App (i.e. if a shared library or component like Avatar is modified, I verified that Avatar is working as expected in all cases)
  • If the PR modifies a component related to any of the existing Storybook stories, I tested and verified all stories for that component are still working as expected.
  • If the PR modifies a component or page that can be accessed by a direct deeplink, I verified that the code functions as expected when the deeplink is used - from a logged in and logged out account.
  • If the PR modifies the UI (e.g. new buttons, new UI components, changing the padding/spacing/sizing, moving components, etc) or modifies the form input styles:
    • I verified that all the inputs inside a form are aligned with each other.
    • I added Design label and/or tagged @Expensify/design so the design team can review the changes.
  • If the PR adds or modifies the UI:
    • I asked an AI agent to review the changes for accessibility issues and addressed its findings.
    • I tested with a screen reader (VoiceOver on macOS) and verified all new/changed elements are reachable with a logical focus order.
    • I verified all new/changed elements have meaningful accessible names and roles.
    • I verified state changes are announced (e.g. checked/unchecked, expanded/collapsed, selected).
  • I added unit tests for any new feature or bug fix in this PR to help automatically prevent regressions in this user flow.
  • If the main branch was merged into this PR after a review, I tested again and verified the outcome was still expected according to the Test steps.

# How to duplicate an expense

You can create a copy of one or more expenses using **Duplicate expense**. This generates new expenses with the same details as the originals, including the merchant, amount, category, tags, and tax. The date is set to today and receipt images are not copied. An expense that is on a report is copied onto your primary workspace, while an Unreported expense is copied onto your personal space.

The date is set to today and receipt images are not copied. When you duplicate a single expense on a report you can still add expenses to, such as a Draft report, the copy is added to that same report. Otherwise, an expense that is on a report is copied onto your primary workspace, while an Unreported expense is copied onto your personal space.

Readability/clarity: The clause "on a report you can still add expenses to, such as a Draft report" is hard to parse (trailing preposition modifying "report") and this intro paragraph now packs three conditional branches into one run-on. Per HELP_AUTHORING_GUIDELINES.md Section 1 (concise and actionable), consider rephrasing for scannability, e.g.: "If you duplicate a single expense that is on a report still able to accept expenses (such as a Draft report), the copy stays on that report. Otherwise, an expense on a report is copied to your primary workspace, and an Unreported expense is copied to your personal space."

Agreed the current sentence is a bit long and hard to read. The suggested change looks good.

Applied the suggested wording in 47c9391.

The duplicate expense keeps the original expense's merchant, amount, category, tags, tax, and billable or reimbursable status. The date is set to today and receipt images are not included.

The duplicate matches the reported state of the original. If the original expense is on a report, the copy is created on your primary workspace. If the original is an Unreported expense, the copy is created on your personal space and is not added to a report.

Readability/clarity: "If you duplicate a single expense on a report you can still add expenses to, such as a Draft report" repeats the awkward trailing-preposition phrasing and is difficult to scan. Per HELP_AUTHORING_GUIDELINES.md Section 1 (concise and actionable), reword for clarity, e.g.: "If you duplicate a single expense on a report that can still accept expenses (such as a Draft report), the copy stays on that report."

I think this is missing a description of the report state:

Otherwise, if the original expense is on a report state that cannot accept new expenses, such as Approved or Paid, the copy is created on your primary workspace.

Updated in 47c9391. The paragraph now reads:

Otherwise, if the original expense is on a report that cannot accept new expenses, such as an Approved or Paid report, the copy is created on your primary workspace.

HelpDot Documentation Review

Overall Assessment

This is a small, targeted copy-accuracy PR (3 changed lines across 2 files) that updates the documented behavior for duplicating an expense. Previously the docs stated a reported expense is always copied to the primary workspace; the updated copy reflects E/A#103072, where a single-expense duplicate now stays on its source report if that report can still accept expenses (for example, a Draft report), and falls back to the primary workspace otherwise. The changes are accurate, scoped to the diff, and introduce no structural, heading, or metadata changes.

Scores Summary

  • Readability: 7/10 - Factually clear and uses consistent terminology, but the new conditional sentences are dense. The How-to-Duplicate-an-Expense.md intro now chains the single-expense case, an "Otherwise" clause, and a "while an Unreported expense" clause into one long sentence, which is harder to scan.
  • AI Readiness: 9/10 - Full feature name (Duplicate expense) preserved, internalScope metadata untouched and still accurate, no heading/hierarchy changes. The added single-vs-bulk distinction improves retrieval precision for the real-world nuance.
  • Style Compliance: 9/10 - Correct bolding of the Duplicate expense UI label, correct lowercase generic terms ("primary workspace", "personal space", "report"), correct capitalization of UI states ("Draft report", "Unreported expense"). No prohibited navigation language introduced.

Key Findings

  • Positive: The edits correctly limit the new source-report behavior to single-expense duplicates and preserve the primary-workspace behavior for bulk duplicates, matching the linked code change.
  • Positive: Terminology and capitalization are consistent across both files and with the surrounding unchanged content.
  • Improvement: Both updated sentences would read more clearly if the single-expense case and the fallback case were split into two sentences rather than joined with "Otherwise,"/"while" clauses. In the Expense-and-Report-Actions.md table cell the longer conditional is acceptable given the compact table format.

Recommendations

  • Consider splitting the long conditional sentence in the intro paragraph of How-to-Duplicate-an-Expense.md for readability, e.g.: "When you duplicate a single expense on a report that can still accept expenses, such as a Draft report, the copy is added to that same report. Otherwise, a reported expense is copied onto your primary workspace, and an Unreported expense is copied onto your personal space."
  • No blocking issues. The author/QA still needs to complete the Tests and QA Steps sections of the PR body before marking ready for review.

Files Reviewed

  • docs/articles/new-expensify/reports-and-expenses/Expense-and-Report-Actions.md - Table cell for Duplicate expense updated accurately; compliant.
  • docs/articles/new-expensify/reports-and-expenses/How-to-Duplicate-an-Expense.md - Two sentences updated accurately; minor readability suggestion only.

Note: Detailed line-by-line feedback has been provided as inline comments.

I addressed both threads in 47c9391 and replied in each one:

  1. "What happens after you duplicate an expense": I applied the clearer wording. I also added the report state from garrettmknight's suggestion. A copy now goes to your primary workspace when the original report "cannot accept new expenses, such as an Approved or Paid report."
  2. Intro paragraph: I applied the suggested wording that francoisl approved.
